Why we process your data
- Verifying your hospital affiliation, by confirming that you control an email address at an authorised hospital.
- Providing Instructions for Use (IFUs), CE declarations and technical documentation for regulated medical devices.
- Coordinating your requests for quotes, evaluation samples and cath lab support, and answering your messages.
Data we collect
- Your professional name and hospital email address. We identify your institution from the email domain, or an administrator records it when inviting you.
- Your password, stored only in hashed form.
- The details of any request or message you submit, including your professional title or role and a callback phone number if you provide them. EuroMedink staff can read these in the portal.
- Session security logs: session records, technical error logs and rate-limit counters based on hashed IP and email addresses.
- Email delivery problems: if our emails to an address bounce or a recipient complains, we record this so that we stop writing to that address.
Legal basis
- Our legitimate interest in providing technical documentation to healthcare professionals and in protecting the portal (GDPR Art. 6(1)(f)).
- Steps you ask us to take before a possible contract, such as sample and support requests (GDPR Art. 6(1)(b)).
Where your data is stored and who processes it
Portal data is stored in the EU, in the AWS Frankfurt region (eu-central-1). We never sell your data to third parties. Amazon Web Services hosts the portal and sends its emails. The site is delivered through Amazon CloudFront, so your requests may pass through its locations in Europe and North America. Messages you send to info@euromedink.com, or through the portal's contact form, are handled by Google Workspace. Where these providers transfer data outside the EEA, their data-processing terms apply the safeguards the GDPR requires, such as Standard Contractual Clauses.
How long we keep your data
We keep your account data and requests only while your professional account is active. Unconfirmed registrations are deleted after 24 hours, sessions end after 8 hours, and technical logs are kept for 30 days. Our own delivery-problem records are kept for up to 12 months in hashed form. Amazon SES, our email provider, also keeps bounced or complaining addresses on a suppression list until we remove them, which we do on request.
Your rights
You may request access to your data, its correction or deletion, restriction of its processing and its portability, and you may object to processing based on legitimate interest. To exercise these rights or delete your account, write to info@euromedink.com. You may also lodge a complaint with the Belgian Data Protection Authority (www.dataprotectionauthority.be).
Cookies
The portal uses one strictly necessary cookie to keep you signed in. Your language choice is stored in your browser. We use no advertising or analytics cookies.
